Will an AI answer the phone?

People ask us some version of this question all the time: “Is Red Key eventually going to put an AI on the phones?”

It’s a fair question. Everywhere you look, companies are replacing people with chatbots, phone trees and automated replies. Customers have learned to expect it, and most of them have learned to dread it.

So here’s our answer, plainly: no. Whenever a human wants to talk to us, we want to talk to them.

That doesn’t mean we’re anti-AI. We use it every day, and we’ve been deliberate about it from the start. We just use it for a different reason than most. We don’t use AI to spend less time with our clients. We use it so we can spend more.

What we hand to AI

When we first sat down to decide how AI would fit at Red Key, the obvious move was to ask what it could replace. We asked a different question instead: what gets in the way of our people spending time with our clients?

The answer was a lot of work nobody needs a conversation for.

Take a ticket that comes in saying, “My mailbox is full, and my manager approved an upgrade.” That person doesn’t need to talk to anyone. They need more space. If we can automate that request so it’s fixed the moment they ask, heck yes, we’re going to.

That’s the kind of work AI handles for us:

  • Clerical work. The routine, repetitive requests that are simple to fix but eat up hours when a person handles each one by hand.
  • Bridging gaps. Moving information between systems so nothing stalls waiting for someone to copy it over.
  • Catching blind spots. Noticing the small things that quietly slip through the cracks before they turn into big problems.

None of that is where the value of an IT partner lives. But all of it takes time. Every hour AI saves on it is an hour our team can spend on you.

Where the automation stops

Here’s the line we drew: AI removes what gets in the way of human-to-human time. It never replaces that time.

So there are places it doesn’t go.

Anyone who wants a person gets a person. If you pick up the phone, you reach someone on our team. We’re not going to make you fight through a menu or argue with a bot to get help.

Judgment calls stay human. Whether to upgrade now or next year, how to plan for a new office, what your security really needs. Those decisions depend on knowing your business, and that takes a conversation.

The stressful moments stay human. When nothing is working and a deadline is closing in, you don’t need an automated reply. You need someone who listens, understands what’s at stake, and takes ownership.

There’s a reason for this beyond good service. AI is great at breadth. It can explore every angle of a problem, exhaustively and superficially. What it can’t do is go deep on your situation, with your history and your goals in mind. That depth is where real value comes from, and it only happens between people.

What this means for your business

If you’re figuring out how to use AI in your own company, the same principle applies. And the easiest place to see it is in how you communicate.

Your business now has two audiences: humans and AI. Search engines and chatbots read everything you publish, working out what you do and whether you show up consistently. Writing some content with them in mind is fine. There’s real value in it.

The trouble starts when you mix up the two. Content written for AI reads like it was written for AI. It’s thorough and polished, but hollow. Send that to a customer and they can tell right away. They feel like they weren’t worth your time, and every message either builds trust or chips away at it.

So it comes down to the difference between using AI as leverage and hiding behind it:

  • Leverage means you already understand the topic deeply, and AI helps you get to something meaningful in a fraction of the time.
  • Hiding means letting AI do the thinking and hoping nobody notices. That doesn’t fool anybody except another AI.

Use AI to clear the busywork. Then spend the time you get back on the people who matter to your business.
